Functions - ​How to Setup Kounta Products for Functions and Events System

This article provides a step-by-step guide on how to setup a Functions and Events product in Kounta. 


Apply the appropriate tag for each product in Kounta. This enables the product to be loaded in the DotGolf Functions and events system.


  1. For venue hire, use functions-product:VENUE_HIRE.
  2. For catering products, use functions-product:CATERING.
  3. For equipment/extras, use functions-product:EXTRA.



The following sections below describes how each product can be setup.


Venue Hire


1. Setup venue hire products with a tag "functions-product:VENUE_HIRE".


Example: Lounge Hire




The venue hire "Lounge Hire" product will now appear in the DotGolf Functions Booking page.



Catering


1. Setup catering products with a tag "functions-product:CATERING"


Example: Conference Package


2. To specify the unit of cost for a product, use one of the following supported tags:


  • functions-product-unit:EACH - Each
  • functions-product-unit:PER_PERSON - Per Person
  • functions-product-unit:PER_SERVING - Per Serving


Catering products with menu items

3. For products that has menu items linked to it, setup an Option Set and linked that to a catering product.


  • Create an Option Set
  • Set the name of the Option Set and add the menu items for that option set.


  • Each item in the option set will also be created as a product in Kounta but as a product modifier.
  • You can now linked that Option set to your catering products. 
  • To linked an option set to a product, go to Products Settings. 
  • Click on Option Sets tab. 
  • Click on Link To Products. The page will display all the products configured in Kounta.
  • You can filter to show only those Functions products by typing in "functions" in the search box located at the right hand side.


  • Link the option set to the appropriate product. Find a product that you want to link to an option set under the "Linked Options Sets" column. (e.g. Conference Menu)


  • Kounta automatically saves the change after you selected an option set.


The catering product "Conference Package" product will now appear in the DotGolf Functions Booking page.



Equipment/Extras


1. Setup equipment/extras products with a tag "functions-product:EXTRA".




Then specify the unit tag as functions-product-unit:EACH - Each



Custom Items


DotGolf Functions and events system allows users to add items that are not yet configured in Kounta. Before adding a custom item to a function a Miscellaneous product must be setup first in Kounta with a tag "functions-product:MISCELLANEOUS".

Custom items added to a functions event will be mapped to this product when you decide to bill the functions customer by sending a xero invoice from DotGolf.. 


Note:

If you find that you are frequently adding the same custom item when setting up a function, it is recommended that you set this item as a proper product in Kounta so you would be able to search this instead.
