Lightspeed O-Series (Kounta) - How to perform a stocktake

In Kounta, you can perform a full or partial stocktake. Often time does not permit for a full stocktake, so partial stocktakes can be advantageous.


NOTE: Prior to any stocktake, ensure you have the cost prices setup for each stock product. This will provide more meaningful reporting for stock counts and value.


1. In the Kounta back office, go to mySite and select the Stock Count menu option:


2. Click "New Stock Count"


At this stage, you can filter the Stock Count on certain products. As part of our setup process, we tagged products requiring a Stock Count with the tag "stock". This allows for you to do a stock count only for these "Stock" items.


3. Add the tag "Stock" 



4. Generate Stock Sheet


At this point, you are ready to perform your stock count. Depending on preference, you can either enter the stock items directly into Kounta, OR, you can export to CSV, print this out and then upload the updated CSV.

NOTE: You also need to consider orders that have been placed On Account. Until Kounta do an update to their system, On Account orders for Stock are not processed until the invoice is fully paid in Xero and sync'd back to Kounta. An update to better account for stock is scheduled for October 2018.


5. If entering directly into Kounta, simply enter the counted qty for each item, and click Save. 


6. If you would prefer to do this manually, at the top right click on the download/export button.


This will create a CSV file, which you can print for manual entering of stock take.


7. Perform the stock count, and simply enter the counted values back into the CSV file. 


NOTE: If there are any items in the file that you want excluded from the stock count, simply delete these lines from the file so they will be excluded from the count.


8. Save the file to a directory on your local PC. (Ensure you save the file as CSV and not an excel .xls file)


9. Upload the file back into Kounta from the same page you downloaded the file from. 



Choose the file you saved in Step 8.



This will update all the stock items generated as part of this stock count.
