Create a Function Booking (Basic)


1. Click on Events tab to go to Events page.


2. Click on the Functions tab on the Events page to access the Functions calendar.

3. There are two ways to create Functions event: 

    (Option 1) - When you click on New button on the upper left-hand side

    (Option 2) - When you hover around a calendar date then click on the +New link button (shown below)


4.  There are four (4) main sections in the Functions booking page namely:

  • Booking Details
    • At the minimum, you need to fill in the necessary details to be able to create Functions booking (e.g. Title, status, customer, start/end date time, setup time, attendees and payment option)
  • Venue Hire
    • Allows you to select which venue to book.
  • Catering
    • Allows you to specify food and beverage requirements
  • Equipment/Extras
    • Allows you to specify equipment/extra (e.g. TV, Projector, Seat covers)


5. To create a basic Functions booking follow the example below.



Example - Functions Booking (Basic)

In this example we are creating a Functions event by filling in the booking details and venue hire section.


1. Fill in the booking details

  • Title - Title of an event
  • Status - Tentative or Confirmed
  • Customer - 
    • (a) You can search for an existing customer by typing the name and select that customer from the list o
    • (b) Create a new customer by simply clicking on the New Customer button and fill in the name, contact phone and email.


  • Date/Time - Set the start and end date/time for the booking.
    • Frequency: Once or Weekly
  • Setup Time - Set the preparation time for the functions event.
  • Attendees - Set the number of attendees for the functions event.
  • Payment Option - Set the payment option (options are configurable under Custom Fields settings)
  • Notes - Add notes to this booking details



2. Fill in the venue hire details

  • Select one (1) or more venues for the functions event.
  • In the Venue hire details form, you can select from the default rates (initially setup when you subscribed to Functions product feature) or set it manually by typing in the appropriate cost under Cost text field.
  • Choose a table layout (e.g. Boardroom, Banquet, Cafe Style, etc.).
  • Add notes to this venue hire.
